Great Bend of the Yellowstone Lewis & Clark Heritage Regional Bicentennial Commission Meeting Minutes
Attending: Becky D., Sandra C., Diana S., Brian S., Charlie R., Jackie R., Dick B. & Penny C.
Rural Fire Hall, 5:30 P.M.
January 6, 2003
1) No Guests present. Laurie Heupel couldn't make it.
2) Minutes from the past two meetings were approved; Nov. 25 and Dec. 9.<)>
3) Upcoming National "Kick-Off" Event:
Manifest Scrutiny with Ritchie Doyle and David Jolles--Jan 17, at 7:30 pm.
Posters are out, will need to print more with the two new sponsors added. Jackie will do. Penny made postcards (400) and tickets (200). We will meet tomorrow at the Depot during the noon hour to put labels on and get them sorted for mailing. Diana offered to get them to the PO and then be reimbursed for the postage as they need to go out ASAP. Penny will make 100 more tickets prior to this noon meeting so we can get them out to the 3 stores and to all members.
Sandra read us the "time-line" for the evening and Diana will type it up for the performers. Hoping to end the show at 9:45 pm to allow time to join Clark & Lewis at dinner afterwards. Diana offered to ask Bob E. to ask at the Bar & Grill. (Rib & Chop House later agreed to stay open for us. (they are a sponsor)
Diana spoke to Ritchie and he would like to help promote the silent auction items and the license plate. We are paying them $300.00 and $40.00 for gas plus a room & breakfast at Paradise Inn/Clark's Crossing.
Thurs. 1/16 will be the setting up day. Meet at the Depot at 3:00 pm to help. Penny will send quick notice tomorrow morning on this & the labeling meeting.
Newspaper ads are set to go: Enterprise on the 10th and 16th; Weekly for next week, on the 15th. Don't have a photo of the MSU Dancers yet for the paper. Bozeman Chronicle, Louann Rod, told Sandra we will probably be getting the "centerfold" spot in Friday's paper in their magazine section!
Dick B. has been interviewed by Tom Mason (Enterprise) for the feature on his powder horn. Penny gave Dick the photo to give to Tom.
Silent Auction items so far: Hand carved Powder Horn, hand painted antique buffalo skull, shell necklace, silver grizzly necklace, Vol. III of Moulton's set. Door prizes: Pompey's Pillar mugs, coloring books, autographed book, pins, key chain, etc.
Need to bring ice for the coolers, & coffee flavorings. Be there by 6:30 pm Friday.
Becky offered to send thank-yous to sponsors; we'll include two complimentary tickets. Penny will send thank you to Nicole Hawkes for helping the night of the Festival of Trees.
4) License plate raffle progress: We've sold 76 tickets to day for a total of $192.00. Will sell them at the show, too.
Firefights have asked us to be sure and write our meetings on their calendar as the room is being used more and more now. New door code given to Becky and others.
Rivers Across has requested a letter-of-support for their project of signs from us. Sandra will do.
Dick B. had a great suggestion for future fund raising event.... make a "challenge" to all local artists and galleries to donate a painting related to the Expedition and we could hold an auction of these to raise funds for the Sacajawea statue dream project. A "L&C Ball" was suggested as the event to hook this to and maybe next New Year's Eve??
Next meeting will be after the show as things are falling into place with minimal glitches. January 27th, Mon., 5:30 pm at the Rural Fire Dept.
