Great Bend of the Yellowstone Lewis & Clark Heritage Regional Bicentennial Commission Meeting Minutes
September 12, 2005

Attending: Becky D., Marleen A., Dick B., Dale G., Sandra C., Penny C., and new member Norm Miller (kayaked & walked, the entire trip in 2004, to Ft. Clatsop).

Time sheets need to be done and given to Becky for in-kind recording. We made more during this meeting.

Finance report: Penny reported that the balance in our O & P fund is $208.00. Dale, Becky and Penny will be reimbursed for mileage for Commission travel.

Regular Commission fund balance is $2880.77. One bill for the post cards will be reimbursed to Penny for $132.10.

NPS Brochure grant has $377.00 dollar balance and will be used to order 250 more Driving Tour brochures. The Chamber of Commerce requested a second box; Penny will deliver from Jim Durgan's office.

Sandra brought a letter from NPS, Midori sent it stating that our funds are NOW available for the garden grant. Hooray!

Marleen's Monument Fund report is in an attachment from WORD; summary is 35 bronzes sold-$42,000.00; 163 bricks sold-$14,145.00; Donations-$7,347.00; jar collections-$1,470.50. Livingston Trust-$10,000; NPS garden grant-$5,000.00. Expenses to date total $2,817.49, plus 18.99 for weed spray.

NET TO STATUE: $77,154.00

No word yet from Dick's source or from the Travel Montana Grant application (should hear by end of October).

Discussed again the length of time it's taking to get the bronzes that we do have ordered and paid for. We've requested #'s 46 through 50 to be cast now. Some concern for getting the monument completed on schedule. Made motion to go ahead and pay Mary payment #2 now, to assure the Foundry that the money is there. County Commissioners have agreed to let us draw on the $10,000 amount from them for garden/landscaping work now to get this done before winter sets in.

Dale is working hard on the "contractor" issue. Has talked with Steve Kellin from SDSI and he is working up a bid for the wall and base framing. Kevin Warren will make the "fence" portion of the dry creek bed end for $59.00 / foot. Mobile Welding will do it for $32.88/foot and then do powder coating also for $16.00 more. Forty feet will cost $1920.00. Made motion to use Mobile Welding; passed.

Dale has connected with Northwestern Energy and Eddie Miller for the electrical lines and they need to go is same time as the big base and the irrigation conduit tubes. Made motion to allow Dale to make those decisions and "do it!" We have the option of using the Detention Clean-up inmates, workers from Crazy Mountain ranch and the one young community service helper. We will have SCSI pick a date for this work. Need to ask about colored concrete to match the JTL donation.

Becky has a talk scheduled for Oct 11th to the Livingston Garden Club, as they have adopted our Garden as their project for the year. She will give the Power Point presentation. Today, she opened the Adult Education brochure and found a photo of the bronze next to her name listing her as a "class" for free to the public via the Garden Club. What a gift in advertising!!! Yea.

Becky reported that Clint is helping with the Discovery Expedition idea and it's dependent on the Congressional funding in March of 2006. Norm is acquainted with folks who know both groups and will follow-up on our behalf about attending the Dedication day. He also knows two descendents of Capt Clark. Would like to invite Gary Moulton & Native Americans from the Crow tribe if possible. Still working on having Sacajawea's great grandniece and the Shoshone elders for the blessing ceremony too.

We are planning a pre-evening celebration the night before July 15th for all large donors, etc. and must continue that planning.

In October we will complete the base and ground work for the garden beds. In November we need to work on the design for the Commemorative envelope and possibly have the Rick Graetz slide show. December we will do another ad campaign to push bricks and bronze sales.

The silhouette is in a good spot so we'll leave it there for now. We are hearing that people enjoy watching the numbers change.

Becky saw the thank-you ad in the paper. Folks are responding to the "don't be left out ad" Mondays, Wednesdays and Fridays some.

Diana has the data base pages and Penny will get those tomorrow.

Dale brought the money from the classes of 1960 and 1961 and $200.00 in brick money. (First 150 bricks are being made now). Two more brick donations in too. This total $769.00 is not added to the net amount yet.

Next meeting will be 9/28/2005 at 5:30 pm. We will need to locate a new meeting space after that date, as the room will be used at 6:00 pm on Mondays now. How about the Courthouse West meeting room??? Any other ideas?
