Bicentennial Committee Meeting Minutes

The meeting was called to order at 11:10 by Chairperson, Cameron Clark. Those in attendance were: Cameron Clark, Judie Tilman, Kit Mather, Jim Boetticher.

2005 Passports: Jim Boetticher reported that 15,000 copies of the Passport have been printed and most distributed. About 2 boxes are still at printers. If anyone needs some let him know. Does not appear that there will be any money made on the Passports as we had originally hoped. Will be lucky to just break-even. It has been a good project , but this will be the last year. Businesses were less receptive this year to advertising than in past years. Not sure why, but seems the anticipation of large crowds has dwindled some.

State Lewis Clark Bicentennial Commission & Regional Committee Meeting: Cameron attended the meetings in Fort Benton. Coincided with the Corps II. He found it very interesting with lots to see & learn. Attendance was a little sparse the time he was there, but it was raining hard so that may not have been a good indication. His daughter was with him & she really enjoyed it. He reported that the Billing group did not receive the State appropriation for its Signature Event so that may have to scaled back a bit.

MTRI/NPS Signage Grant: Judie has called Laurie who was going to talk to Kit. Not sure why communication has been a problem, but hope we can either resolve or just notify State that we will not do the signs. Judie & Cameron will make another attempt to ensure that NPS is okay with fabricating the signs as submitted and if not what changes do they want. Sea Reach was supposed to send a bid. There are some local sign companies that may be able to do the work in a reasonable time. It would be too bad to see them not finished as a lot of effort on Kit’s part and the people in Madison County went into the design work. Hopefully we can resolve this week.

Events: Cameron passed out brochures on “Jefferson Valley Lewis & Clark Commemoration – July 290August 1, 2005. Events will be at the Lewis & Clark Caverns, Cardwell Pavilion and JVP Theatre site, and the Whitehall Town Park. Monday August 1 at Noon there will be a Birthday Party for Captain Clark. (Clark celebrated his 35th Birthday here on Aug. 1, 1805).

Cameron noted he has tried to put things on the State’s website, but for some reason has had a problem, will try again & perhaps call Rita if he is still having a problem.

Representatives from Dillon & Twin Bridges were unable to attend. They have a lot of local activities planned for that first week in Aug. Will check to make sure that the State has all their information & that it is being shared with Chambers etc. throughout the region. The time is fast approaching.

It appears that most of the Committee feels they will be so involved in the planning & implementation of local events that it probably isn’t necessary to get together as a group this summer. Cameron stressed that if people need any assistance with events, have questions, or want us to help as a group in any manner they need to let either Judie or him know.

Cameron expressed an interest in attending the Oct. State Conference in Big Timber. There is about $450 remaining in the O&P Grant. This would cover his costs and perhaps the costs for another person if anyone else was interested in attending. Judie will send out an e-mail asking if anyone would like to attend.
